SAP BW/4HANA and SAP Analytics Cloud can work together in two main ways: a live connection that queries BW/4HANA at runtime, or an import connection that copies selected data into SAP Analytics Cloud. The right choice depends on data freshness, query behavior, governance, and the reporting experience required.

A reliable implementation starts with the BW/4HANA model rather than with the dashboard. Confirm the provider, query, dimensions, measures, authorizations, and data-load status before configuring the SAP Analytics Cloud connection.

Choose the connection pattern

Use a live connection when SAP Analytics Cloud should consume governed BW/4HANA queries without creating a separate cloud data copy. The BW query remains the semantic and authorization boundary, and runtime requests are processed against the BW/4HANA system.

Use an import connection when the project requires acquired data, blending with other sources, or features that depend on data stored in SAP Analytics Cloud. Plan the refresh process, ownership of the imported model, and the handling of changes to the BW/4HANA source.

Prepare the BW/4HANA model

Start with a stable provider and query. An SAP BW/4HANA overview helps establish the system structure before you expose a model to SAP Analytics Cloud. For detailed modeling work, review SAP BW/4HANA InfoObjects and SAP BW/4HANA CompositeProviders when the query combines reusable characteristics, key figures, or multiple providers.

Validate the model with representative business filters. Check that key figures aggregate correctly, time characteristics behave as expected, master-data texts are available, and restricted or calculated key figures return meaningful results. Keep technical fields out of the reporting interface unless the consuming design needs them.

When data is loaded through transformations or data flows, confirm the latest load has completed before testing the connection. The SAP BW/4HANA transformations guide is useful when a displayed value depends on mappings, routines, or conversion logic.

Configure a live connection

Create the connection in SAP Analytics Cloud using the BW/4HANA endpoint and the authentication method approved for the landscape. Coordinate the network route, certificate trust, identity propagation, and user authorization before attempting to build a model.

After the connection is created, select the relevant BW query and inspect its dimensions and measures. Build a small validation story or analytic application first. Test a narrow time range, a known organizational filter, and a value that can be reconciled directly with BW/4HANA.

A live connection is successful when the expected query metadata is available, authorizations produce the intended result, and the numbers reconcile under the same filters. Record the tested query, connection name, authentication method, and validation totals for operational handover.

Configure an import model

For an import model, select the BW/4HANA source and map the required dimensions, measures, and time fields into the acquired model. Define the refresh behavior with the data owner and document the last successful refresh time.

Use a limited data slice for the first load. Validate row counts, totals, time periods, null handling, units, currencies, and duplicate behavior before expanding the scope. A successful import should be reconciled against the same source query or provider selection used by the business process.

Treat the imported model as a separately governed reporting asset. Changes to the BW/4HANA query, mappings, master data, or authorizations can affect later refreshes and should pass through the agreed change process.

Troubleshoot connection and data issues

Begin by separating connectivity, authorization, metadata, and data-reconciliation problems. This reduces repeated testing and identifies the responsible system more quickly.

  1. Connectivity: Confirm the endpoint, network route, certificate trust, and connection status.
  2. Authentication: Verify that the configured identity can authenticate through the selected method.
  3. Authorization: Test the same user or identity in BW/4HANA and confirm access to the query, provider, and required authorization values.
  4. Metadata: Check whether the expected dimensions, measures, texts, hierarchies, and filters are exposed by the selected query.
  5. Data: Compare a small set of filters and totals between BW/4HANA and SAP Analytics Cloud.
  6. Refresh: For imported models, check the last run, error details, source availability, and whether the model structure changed.

If a live query returns no data, test a known unrestricted selection and then add restrictions one at a time. If the unrestricted result works, investigate authorization values, variable defaults, hierarchy selections, or filters rather than the network connection.

If totals differ, align the comparison conditions first. Use the same key date, fiscal period, currency, unit, aggregation, hierarchy, and authorization context. Then determine whether the difference comes from query logic, imported data freshness, or model mapping.

Operate the integration

Monitor both sides of the integration. For live connections, track connection availability, authentication failures, query response time, and BW/4HANA workload. For imports, track refresh completion, duration, rejected records, source changes, and the timestamp of the last valid dataset.

Keep a support record containing the connection name, source query, owner, authentication method, refresh schedule, validation totals, and escalation path. This gives operations staff enough information to reproduce a failure without changing the model during diagnosis.

Review the integration after BW/4HANA query changes, provider redesigns, authorization changes, certificate updates, or SAP Analytics Cloud model changes. Re-run the same validation cases after each controlled change.

Practical implementation sequence

  1. Define whether the requirement needs live BW/4HANA execution or acquired data.
  2. Select a governed BW/4HANA query and document its provider and business meaning.
  3. Validate dimensions, measures, hierarchies, variables, authorizations, and totals in BW/4HANA.
  4. Configure the SAP Analytics Cloud connection and test authentication.
  5. Build a small validation model or story.
  6. Reconcile representative values with the source.
  7. Apply the required filters, calculations, and presentation design.
  8. Document monitoring, refresh ownership, and recovery actions.
  9. Promote the integration through the normal change process.

The most durable design keeps business semantics in BW/4HANA, limits imported data to a defined purpose, and makes freshness and authorization behavior visible to the reporting team.
