The SAP VA01 transaction creates a sales order in SAP Sales and Distribution. It records a customer request for products or services and initiates the document flow for delivery, billing, availability checks, pricing, and related follow-up activities.

What VA01 does

VA01 creates a new sales order. The order normally contains a document header, partner data, item data, schedule lines, pricing, and texts. SAP uses the document type and organizational data to determine which fields, checks, copying rules, and incompletion procedures apply.

VA01 belongs to the SD area and is commonly used after customer and material master data are available. Related business processes can include delivery creation, goods issue, billing, credit management, and output processing.

What to prepare before using VA01

Collect the following information before opening the transaction:

  • Sales document type, such as the order type used by your organization
  • Sales area: sales organization, distribution channel, and division
  • Sold-to party and ship-to party
  • Customer reference and requested delivery date
  • Material numbers, order quantities, and units of measure
  • Plant, storage location, and shipping information where required
  • Agreed pricing, discounts, payment terms, and delivery terms when applicable

The customer must have the required sales-area data, and the material must be extended to the relevant sales and plant views. If the customer is new, create or extend the business partner or customer master data through the process used by your SAP system. How to create a sales order in VA01

  1. Enter VA01 in the SAP GUI command field and press Enter.
  2. Enter the order type. Select the sales area if SAP requests it.
  3. Enter the sold-to party and ship-to party in the initial screen or the partner section.
  4. Enter the customer reference and requested delivery date when required.
  5. Add one or more material numbers and order quantities in the item overview.
  6. Check the proposed plant, item category, schedule lines, and confirmed quantities.
  7. Open the relevant detail tabs to review pricing, partners, texts, shipping data, and billing data.
  8. Resolve any messages shown in the status bar or incompletion log.
  9. Choose Save. SAP returns the new sales order number in the status bar.

Record the sales order number and review the document after saving. Use the document flow and status information to confirm whether subsequent delivery or billing steps are pending.

How to verify the saved order

After saving, check the header and item data in change or display mode. Confirm that the sold-to party, ship-to party, material, quantity, plant, requested delivery date, pricing conditions, and overall status match the business request.

Review the schedule lines for confirmed quantities and dates. An order can be saved while still carrying an incomplete or blocked status, so saving alone does not confirm that every downstream process can proceed.

Common VA01 errors and fixes

Missing or invalid customer

Check that the sold-to and ship-to parties are valid for the selected sales area. Confirm that the required partner functions and sales-area extensions exist. A customer number from another sales organization or distribution channel may not be accepted for the selected order.

Material cannot be entered

Check the material number, sales status, sales views, plant extension, and unit of measure. Confirm that the material is valid for the sales area and that the selected plant supports the requested process.

Pricing is incomplete or incorrect

Review the pricing analysis and condition records available for the order. Confirm the validity date, customer or material combination, currency, pricing procedure, and manual conditions permitted by the document type.

No schedule line or confirmed quantity

Review availability, requested delivery date, plant determination, and schedule-line settings. A material can be valid for sales while still lacking available stock or a confirmed receipt date.

Partner, shipping, or billing data is incomplete

Open the incompletion log and follow each listed field to the relevant header or item section. Complete only data required by the configured process, then run the checks again before saving.

Authorization message

Operational checks after creation

Use the order number to inspect document flow, status, output, incompletion, and change history. Coordinate with warehouse, transportation, finance, and customer-service teams when the order is blocked or requires manual review.

For follow-up work, keep the original customer reference and order number together. This makes it easier to trace changes, delivery documents, billing documents, and communications associated with the request.
