SAP XD01 Transaction: Create a Customer Master Record
Learn how to use the SAP XD01 transaction to create a customer master record, enter company code and sales area data, validate required fields, and troubleshoot common errors.
The SAP XD01 transaction creates a customer master record for sales and accounting processes in SAP GUI. It supports the entry of general data, company code data, and sales area data in one guided transaction.
Before creating the record, confirm the customer account group, company code, sales organization, distribution channel, division, reconciliation account, payment terms, and partner-function requirements. These values determine which screens and fields SAP presents.
What XD01 does
XD01 creates a customer master record and assigns the customer to the relevant organizational structures. The record can include:
- General data such as name, address, language, and communication details
- Company code data such as reconciliation account and payment terms
- Sales area data such as sales office, shipping conditions, pricing data, and billing settings
- Partner functions used in sales documents and delivery processing
The exact fields presented depend on the account group and the organizational data selected for the customer. Use the SAP transaction code list when you need to identify related transactions across the order-to-cash process.
Before you create the customer
Collect the master-data values from the approved customer request before opening XD01. At minimum, verify the following:
- Customer account group
- Company code
- Sales organization
- Distribution channel
- Division
- Reconciliation account
- Payment terms
- Tax and shipping requirements
- Required partner functions
- Duplicate-check information, including name, address, and tax identifiers
Confirm that your user has authorization for the selected company code and sales area. Customer creation also requires the relevant configuration to exist for the account group and organizational assignments.
How to create a customer with XD01
- Start SAP GUI and enter
XD01in the command field. - Enter the customer account group.
- Enter the company code.
- Enter the sales organization, distribution channel, and division when sales area data is required.
- Choose Enter to open the customer master screens.
- Enter the customer name, address, country, language, and communication details in the general data area.
- Open the company code data and enter the reconciliation account, payment terms, payment methods, and other required accounting values.
- Open the sales area data and maintain sales, shipping, billing, and partner-function information required by the business process.
- Review the data using the navigation tree or screen tabs.
- Choose Save and record the customer number returned by SAP.
The customer number is the reference used by downstream sales and accounting transactions. Keep the approved request and the returned number together in the operating record.
How to validate the new record
After saving, reopen the customer in display mode and verify the general, company code, and sales area segments. Check the reconciliation account, payment terms, tax indicators, shipping conditions, and partner functions against the approved request.

Common XD01 errors and fixes
Required field is empty
Read the status message and return to the highlighted screen. Enter the value defined by the account group and organizational assignment, then save again.
Account group and organizational data are incompatible
Review the selected account group, company code, sales organization, distribution channel, and division. The configuration must permit the requested combination.
Reconciliation account is missing
Open company code data and enter the approved reconciliation account. If the field is unavailable or the value is rejected, ask the FI configuration or master-data team to verify the account determination setup.
Sales area data cannot be maintained
Verify that the sales organization, distribution channel, and division are valid for the customer account group. Confirm that the user is authorized for the sales area.
A duplicate customer may already exist
Search existing customer records using name, address, tax identifiers, and other approved search criteria before saving another record. Follow the organization’s duplicate-master-data procedure when a possible match is found.
A partner function is missing
Open the partner-functions area and maintain the required partner role and customer assignment. Confirm that the partner procedure assigned to the account group contains the role required by the sales process.
XD01 and related customer processes
XD01 is primarily a customer-master creation transaction. Change and display activities use separate customer-master transactions or the organization’s configured master-data tools. In SAP S/4HANA environments, business-partner governance may also control how customer master data is created and maintained, so follow the system’s approved process.

- Confirm the approved customer request and duplicate-search evidence
