Create a Supplier Invoice in SAP S/4HANA Cloud Public Edition
A practical workflow for creating purchase-order and non-purchase-order supplier invoices in the F0859 Create view of Manage Supplier Invoices.
Supplier invoice workflow: prepare invoice details, choose a purchase-order or non-purchase-order route, review and validate the entries, then post and check worklist status.
This workflow covers the F0859 Create view in Manage Supplier Invoices for SAP S/4HANA Cloud Public Edition, based on release 2608. The view supports supplier invoices with and without purchase-order references, subject to the app's documented scope and prerequisites.
Gather the supplier invoice and confirm the supplier, company code, invoice date, amount, currency, and any purchase-order reference before entering data. For invoices with a purchase order, check that the referenced order and received goods or services are ready for invoice processing.
Decision tree for supplier invoice entry: invoices with a purchase-order reference follow the purchase-order path; invoices without one follow the non-purchase-order path.
02Create the supplier invoice
Open Manage Supplier Invoices and choose the Create view. Select the process that matches the invoice: enter a purchase-order reference when the invoice relates to an order, or use the non-purchase-order path when it does not. Available actions and fields depend on the app scope and your business process.
Enter the invoice details using the supplier document as the source of truth. For a purchase-order invoice, add the relevant reference and review the proposed order items and amounts. For a non-purchase-order invoice, enter the required accounting assignment and other applicable details for your organization's process.
Troubleshooting sequence for supplier invoice entry: check access and prerequisites, verify supplier or order references, compare invoice values, and send the validation message and invoice reference to the process owner if unresolved.
03Review and post the invoice
Before posting, compare the supplier, invoice reference, date, currency, gross amount, tax, and line items with the source document. For purchase-order invoices, also review quantities, prices, and any differences from the order or receipt. Resolve validation messages in the app and confirm that the totals agree with the invoice.
Post only when the invoice details and accounting assignments have been checked. Record the resulting document information for follow-up, then confirm the invoice appears in the worklist with the expected processing status. Use the supplier invoice worklist and status guide to investigate status changes, and consult the supplier invoice release blocks guide if the invoice is blocked from further processing.
04Troubleshoot common entry issues
If the Create view is unavailable, confirm that your user has access to the app and that the required business role and process prerequisites are in place. If a supplier or purchase order cannot be selected, verify the entered reference and ask the relevant master-data or purchasing owner to check the underlying record.
For amount or tax validation messages, compare the entered values with the source invoice and the applicable purchase-order or accounting data. For a discrepancy that remains after review, keep the message text and invoice reference with the handoff to the process owner so the issue can be reproduced without submitting duplicate invoices.
