Investigate a blocked supplier invoice in SAP S/4HANA Cloud
Diagnose why a supplier invoice is blocked, distinguish invoice verification blocks from workflow and payment holds, and release it only through the documented process and authority.
A blocked supplier invoice needs investigation before release. Start with the invoice’s current status and block information, determine whether the cause is an invoice verification issue, an approval workflow, or a separate payment hold, and then follow the release path authorized for that process. A release action should follow resolution and validation of the underlying issue.
Use the invoice worklist and its status details to locate the document and understand its processing state. For help distinguishing worklist status from other invoice processing details, see Check supplier invoice worklist status. If the invoice has not yet been entered and the investigation points to an entry problem, see Create a supplier invoice in SAP S/4HANA Cloud.
Identify the invoice and its current state
Record the supplier, invoice reference, company code, invoice date, and document identifier available in the worklist or invoice details. Confirm that you are investigating the correct document, especially when a supplier has sent a corrected invoice or multiple invoices with similar references.
Read the current processing status and any displayed block reason or workflow information before taking action. The status helps establish whether the invoice is awaiting review, blocked during invoice verification, pending approval, or otherwise restricted. Treat these as different investigation paths rather than assuming every blocked invoice has the same cause.
Separate verification blocks from workflow and payment holds
An invoice verification block points to an issue that must be checked against the invoice and its supporting business documents. Compare the invoice information with the relevant purchase order, receipt, service confirmation, or other supporting record used in the process. Check the amounts, quantities, references, and applicable business tolerances shown by the invoice and its supporting documents.
A workflow item indicates that an approval or review step is still outstanding. Check the assigned work item, approver, and workflow history available to your role, then route it through the configured approval process. An invoice can also be held from payment for a separate reason; investigate that payment restriction through the responsible finance process instead of treating it as an invoice-verification release.
Resolve the cause before release
For a verification issue, determine whether the invoice, purchase order, receipt, or other supporting record needs correction. Ask the responsible business owner to correct the source data or resolve the discrepancy, then confirm that the invoice information and evidence agree. Preserve the reason for the resolution in the appropriate process record.
For a workflow issue, complete the assigned review and obtain the required approval through the configured workflow. For a payment hold, confirm the hold’s business purpose and obtain the required decision from the responsible finance role. These checks keep a release from obscuring an unresolved discrepancy or bypassing an approval control.
Release through the authorized process
Use the release action and application provided for the deployed invoice process. Direct release requires the documented authorization for that path; a workflow-based release follows the configured workflow and its assigned approvers. The available release path depends on the documented application and process, so confirm the applicable instructions and role permissions before acting.
Where MRBR applies to the blocked-invoice process, it supports manual or automatic release for documented blocked-invoice categories and checks whether the block reason remains valid. Use it only where it is part of the documented process for the invoice being handled. A release is appropriate when the blocking condition has been resolved and the responsible role is authorized to release it.
Verify the outcome and retain the investigation trail
After the action, refresh or reopen the invoice details and confirm the resulting status. Check that the verification block or workflow item has been cleared as expected, and confirm whether a separate payment restriction remains. If the status is unchanged, review the recorded block reason and workflow state again rather than repeating the release action.
Retain the invoice identifier, original reason, supporting evidence reviewed, resolution, approver or authorized actor, and final status in the appropriate business record. This gives the next finance or procurement reviewer a clear account of why the invoice was released or why it remains blocked.
